This page sets out all core policies that govern your use of Oceanscape Group’s website and services. By engaging with Oceanscape Group, you confirm that you have read, understood and agree to these terms.

1. About Oceanscape Group

Oceanscape Group is a dual entity medical travel facilitation company comprising:

​

Oceanscape Group New Zealand Limited (NZBN: 9429051228022)
Responsible for: onboarding, travel coordination, documentation, invoicing for coordination and travel, and finance options available to New Zealand residents only.

Oceanscape Group Türkiye SaÄŸlık Turizmi Anonim Åžirketi (MERSİS: 0636-1141-0920-0001)
Responsible for: in-country coordination, liaison with licensed healthcare institutions in Türkiye, logistics, interpretation and facilitation of complication coverage through a licensed Turkish insurance broker.

Oceanscape Group is not a healthcare provider and does not give medical advice. All medical treatment is delivered solely by legally authorised healthcare institutions in Türkiye.

2. Our Role as an Intermediary

Oceanscape Group acts only as an intermediary. We:

• Coordinate communication between clients and the licensed provider
• Arrange travel, accommodation, airport transfers and local support
• Provide general guidance on the process of travelling for treatment
• Assist with interpretation and logistics
• Share information provided by the licensed healthcare institution

We do not:

• Provide or influence medical advice
• Assess or determine treatment suitability
• Guarantee medical outcomes or timelines
• Perform or arrange clinical procedures
• Provide before and after expectations

All clinical decisions are the responsibility of the licensed provider.

3. Data and Privacy Policy (NZ, AU, Türkiye, KVKK and GDPR)

Oceanscape Group collects and processes client information only for the purpose of coordinating travel and connecting clients with licensed institutions.

We act as a data controller and data processor for information submitted through our forms, including medical information voluntarily supplied by the client.

We comply with:

• New Zealand Privacy Act 2020
• Australian Privacy Principles (APPs)
• Türkiye’s Personal Data Protection Law (KVKK)
• General Data Protection Regulation (GDPR) where relevant

Your information may be shared only with:

• The licensed Turkish healthcare institution
• Our travel partners (TAANZ or TÜRSAB registered)
• Our translation, transfer or hotel partners as required
• Our Turkish insurance broker for complication cover

We do not sell data or share data for marketing with external parties.

Clients may request access, correction or deletion of their data at any time, subject to legal requirements.

4. Accuracy of Information Provided by Clients

Clients must provide accurate, truthful and complete information in all forms and correspondence.

This includes:

• Medical history
• Medications
• Previous surgeries
• Travel information
• Companions and special requirements

Failure to disclose accurate information can result in:

• Refusal of treatment by the provider
• Insurance being invalid
• Medical complications
• Loss of refunds
• Termination of services

Oceanscape Group will still support the client, but cannot be held liable for consequences arising from false or incomplete information.

5. Complaints, Escalations and Media Policy

If a client experiences an issue, delay, misunderstanding or service concern, it must be reported immediately to Oceanscape Group in writing.

Early reporting allows us to investigate fairly and resolve concerns while the client is still in Türkiye.

To protect all parties:

• Clients must allow Oceanscape Group and the licensed institution an opportunity to investigate and respond before approaching media, social media, newspapers or public forums.
• Publishing unverified or false claims may result in legal action for defamation or reputational harm.

Oceanscape Group takes all complaints seriously and will provide a written response once the investigation is complete.

6. Behaviour, Cultural Respect and Companion Traveller Terms

Clients agree to behave respectfully toward:

• Turkish healthcare staff
• Oceanscape Group team members
• Hotel and transport staff
• Other clients
• The cultural norms of Türkiye

Abusive or disruptive behaviour may result in:

• Removal from group activities
• Limited access to certain services
• Termination of Oceanscape support if safety is affected

Companion travellers must also comply with behaviour expectations. If a companion behaves in a way that jeopardises the client’s care, the hospital environment or group safety, Oceanscape Group may take reasonable steps to limit their involvement or require them to leave the group environment.

7. Booking, Deposits, Payments and Cancellations

Minimum Deposit

A minimum deposit of 500 NZD or AUD is required to open a booking. This covers administration and is non refundable.

​

Treatment Coordination Deposit

This is set by the licensed provider and listed on your invoice. Refunds follow the licensed provider’s policy.

​

Full Payment

Due six weeks before the confirmed treatment date, unless the institution requires earlier.

​

Date Changes

One date change is permitted if more than six weeks from treatment. Additional changes may incur fees.

​

Cancellations

If a client cancels:

• More than six weeks out: refunds depend on the institution’s policy. The minimum 500 NZD or AUD deposit remains non refundable.
• Within six weeks: the institution may retain 20 percent of the treatment value or the amount stated in their policy.

Travel Providers

Flights, hotels and transfers follow the policies of the airline or hotel. Fees may apply.

8. Third Party Services and Liability

Oceanscape Group partners with:

• Licensed Turkish healthcare institutions
• TÜRSAB registered travel agencies
• TAANZ accredited travel agents
• Licensed interpreters and transfer companies
• Accredited hotels and accommodation providers

Each provider is responsible for their own services. Oceanscape Group is not liable for actions or policies of third parties.

9. Travel Policy

Travel is arranged through approved providers. Oceanscape Group is not responsible for third party delays, border issues, baggage problems or airline changes.

Clients are responsible for:

• Valid passports
• Visas
• Travel insurance
• Local compliance and behaviour

10. Medical Disclaimer and Risk Disclosure

All surgery carries risk. Oceanscape Group:

• Does not provide medical advice
• Does not guarantee outcomes
• Does not determine suitability
• Is not responsible for complications

The licensed institution is solely responsible for all clinical decisions.

11. Website, Cookies and Accessibility

Our website uses cookies for basic functionality. Cookies do not store sensitive information.

We aim to ensure the website is accessible to all users. Please contact us if you need information in an alternative format.

12. Governing Law

For New Zealand residents: New Zealand law applies to coordination and travel services.

For Australian residents: Australian Consumer Law applies to coordination and travel services.

For all clients: Turkish law applies to medical services and any disputes involving clinical decisions.
